Definitions

The Client: The recipient of the service
The Ltd Company: Olivia Todd Ltd
The Contract: The agreement between the Client and the Limited Company, confirmed by e-mail, for agreed services
The Fee: The amount payable by the Client to the Company for the service in the Contract.
The Occasion: Occasion for which the service has been agreed.
The Bridal Party: Persons in addition to the Client requiring services at the Occasion.

Booking – Wedding Day Makeup Trials

Bookings are secured upon receipt of a non-refundable deposit/£100 for bookings within the UK with the Company.Dates may be transferrable if your wedding has been cancelled due to Covid 19.

For bookings outside of the UK a quote will be provided for the Company’s services which will include details of the deposit required. Receipt of a deposit payment confirms the Contract and secures the Company’s availability for the Occasion on the agreed date and time for the agreed Fee.

The deposit is deducted from the final Fee due. Enquiries for which a deposit has not been paid are not confirmed and therefore availability cannot be guaranteed and a binding Contract has not been executed. Trials last between 2/3 hours and any extra time is charged at £40/ hour.

If the Client does not wish to book the service for the Occasion after a trial session and a deposit has been paid, then the Company will retain the deposit.
Cancellations are only deemed valid if received via e-mail. If for some reason you cancel your wedding booking, your cancellation must be confirmed by email as soon as possible. We will retain your deposit of £100.

The Fee is always agreed via e-mail, verbal agreements are not offered as they are not deemed binding by the Company.

During peak season there is a £500 minimum booking and for larger parties of 4 or more the company will organise one of their team members/assistants. 

Booking – Other Makeup / Masterclasses

Bookings are secured upon e-mail confirmation from the Company. This confirms the Contract and secures the Company’s availability for the Service on the agreed date and time for the agreed Fee.

Group bookings are secured by payment of a 50% deposit payable to the Company 4 weeks in advance by bank transfer.

The full cost of a booking is incurred if a cancellation is received less than 24 hours before the booking.

Cancellations are only deemed valid if received via e-mail.

The Fee is always agreed via e-mail, verbal agreements are not offered as they are not deemed binding by the Company.

Travel Expenses For Bookings Within Mainland UK

Travel expenses are incurred for bookings within mainland UK for every mile outside a 10 mile road distance from postcode SO53 5BZ to the venue where the service is to take place at a rate of 45p for every mile, this is based on the return journey.

Distances are calculated using an on-line journey planner and travel expenses will be agreed between the Company and Client as part of the Contract.

If required, alternative methods of transport other than motor vehicles, such as rail or flight will be discussed and agreed with the Client during the booking process. Travel expenses for trials are payable when the trial is carried out.

Travel Time

Travel time to your wedding venue will be charged if it exceeds 1 hour. Trials are conducted in the makeup studio near Winchester. If a trial is required in your home we can travel to you however we will charge £40 per hour travel time for travel time which exceeds 1 hour.

Accommodation & Subsistence Expenses For Bookings Within Mainland UK

For a booking that requires the Company to start work before 7am (including time spent on travel from SO535BZ) accommodation expenses will be incurred. The Company will always endeavour to find the most cost-effective option the cost of which will be discussed and agreed at the time of booking.

Subsistence for the Company for every 24 hours spent away from home for a booking will be charged at £50 unless normal meals/ refreshments are provided at the location.

This will be discussed and agreed between the Company and Client as part of the Contract.

Expenses For Booking Outside Of Mainland UK

For bookings outside of the mainland UK the following travel expenses are incurred:

Travel expenses to and/or from the UK airport to include parking.
Distances are based on the return journey and are calculated using an on-line journey planner.

Return flights for the Company booked from/to convenient airports the cost of which are invoiced to the client.

Return travel between the airport and accommodation at the destination as well as any additional travel required at the destination related to the Event.
£60 will be charged for subsistence for the Company for every 24 hours spent away from home for a booking. For any journey to an airport that requires the Company to start travelling prior to 6.00am, additional accommodation expenses may be incurred.
The Company will always endeavour to find the most cost-effective option and all travel expenses will be agreed between the Company and Client as part of the Contract.

Payment – Makeup Services

An invoice for the balance of the Fee will be sent from the Company to the Client.

Full payment of the balance of the Fee is required no less than 4 weeks prior to the Occasion , unless the Occasion is less than 4 weeks away in which case full payment is required to secure the booking.

Payment can be accepted by bank transfer bank details will be provided on the invoice.

For deposit payments by bank transfer, the booking is only confirmed when the bank transfer has cleared in the Company’s bank account.

Client Responsibility

It is the Client’s responsibility to inform the Company of any potential issues such as but not limited to medical conditions, allergies and/or sensitivities. The Company cannot be held liable for any condition that arises or any loss incurred by the Client if the Client has not informed the Company of any known conditions as stated above, or of any conditions unknown to the Client at the time of the service.

If the client is aware of any allergies or sensitivities and still decides to continue with the services this will be entirely at the clients own risk and no liability or responsibility can be accepted by The Limited Company nor Olivia Todd personally. We will of course make every effort to use hypoallergenic products in these circumstances and all products used are high end well tested products however there is always a risk of an unforeseen reaction which is unavoidable and for which no responsibility can be accepted.

The Company reserves the right to cancel if the behaviour of the Client is deemed inappropriate and/or if the Client reports a condition that the Company deems a risk to the Client’s health and well-being. In these cases any payments that have already been made by the Client for the service are non-refundable.

Company Responsibility

The Company will always endeavour to comply with the terms of the Contract.

There may be circumstances beyond the control of the Company where due to ill health, unforeseen circumstances the Company might be delayed or otherwise rendered unavailable, sometimes at short notice. In such a case the Company will inform the Client as soon as possible.

Cancellations

Bookings cancelled within 4 weeks of the wedding are non-refundable.

If the client has a confirmed booking for 6 months – 1 year and decides to cancel less than 2 months prior to the wedding date a 50% payment is required.

Cancellations received less than 24 hours before a non-wedding Event will incur the full Fee for the service.

Cancellations for services booked where travel and/or accommodation expenses have been paid for by the Company and are non-refundable by the provider will incur the full reimbursement from the Client to the Company for the travel and/or accommodation costs paid.

Cancellations are only valid via e-mail, verbal cancellations are not accepted as they are not deemed valid by the Company.

If you have  paid deposit and committed to booking Olivia and her team, but choose to book another service, your deposit is non-refundable. 

Photography & Use Of Images

Photographic/video images of the Client and Occasion/ Services may be used by the Company in promotional material unless the Client has expressly refused permission for the said use and confirmed this by email.

Repeat Trials

If a second makeup trial is requested for a different look the Company are more than happy to provide this, the same fee applies as for the first trial.

Assistants/Team

If you have a large Bridal Party( over 4 )  a team member or assistant will be booked to assist Olivia with makeup for  your bridal party to ensure Olivia’s exacting standards are consistent across the entire bridal party. 

Due to the high demand for Olivia’s services. Olivia has carefully a team of chosen talented artists to work alongside her or cover on her behalf at weddings. 

Olivia and her team are able to take care of you and your whole bridal party and do not work alongside other makeup artists or separate assistants that are not recommended by or part of Olivia’s team. 

Extras 

Individual & full set eyelashes are included in the price for the makeup service, there is no reduction in price for any makeup service if they are declined.

Flower Girls

Makeup services for younger members of the bridal party who are up to 12 years old are available by arrangement.

PLEASE NOTE THAT BY SECURING A BOOKING OR CONFIRMING A TRIAL THE CLIENT ACCEPTS THESE TERMS AND CONDITIONS.
